Executive Assistant
About Us
Wyoming Liberty Group is a free market think tank dedicated to advancing policies that promote individual liberty, limited government, and economic freedom in Wyoming. We engage in research, and public outreach to inform citizens and policymakers about key policy issues affecting our state.
We are seeking a highly organized and tech-savvy Executive Assistant to support our leadership team. This position plays a vital role in the day-to-day operations of our organization, ensuring efficiency and professionalism in administrative tasks, scheduling, communication, and event coordination.
Key Responsibilities:
Administrative & Office Management
- Assist with daily office operations, including managing incoming/outgoing correspondence, maintaining office supplies, and handling vendor relations.
- Process payables and maintain organized financial records.
- Handle document preparation, formatting, and file management.
- Assist with board meeting preparations, including agenda creation and minutes documentation.
- Coordinate logistics for in-person and virtual meetings, including Zoom setup and tech troubleshooting.
Scheduling & Communication
- Manage the Executive Director’s calendar, appointments, and travel arrangements.
- Schedule internal and external meetings, ensuring proper follow-ups and confirmations.
- Draft, proofread, and send correspondence on behalf of leadership.
- Act as a liaison between internal teams, board members, donors, and external stakeholders.
Marketing & Social Media Management
- Maintain and update social media accounts (Facebook, X, Instagram, LinkedIn, YouTube), ensuring consistent and professional branding.
- Draft and schedule social media posts to promote research, events, and organizational updates.
- Monitor engagement and assist with responding to inquiries and comments.
- Assist in designing marketing materials, reports, and presentations using Canva and Microsoft Office.
Mailings & Membership Programs
- Assist with managing Wyoming Liberty Group’s membership program, including processing renewals, maintaining accurate records, and communicating with members.
- Coordinate direct mail campaigns, ensuring timely production and distribution of materials.
- Maintain and update contact management databases (CRM software experience preferred).
Event Planning & Outreach
- Assist in planning and coordinating events, including logistics, invitations, and materials.
- Help organize donor meetings and public policy forums.
- Work with vendors and venues to ensure smooth execution of events.
Technology & Content Management
- Provide basic video editing for promotional and educational content.
- Assist in managing and updating the organization’s website.
- Troubleshoot minor IT issues and coordinate with tech support when needed.
Qualifications & Skills
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Mandatory.
- Experience with Apple products preferred.
- Experience with Canva or other design software preferred.
- Familiarity with contact management software (CRM) preferred.
- Basic video editing skills (iMovie, Final Cut Pro, or similar software) preferred.
- Strong organizational and time-management skills with keen attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Self-motivated with the ability to work independently and collaboratively.
- Ability to lift 50 lbs
- Interest in free-market principles and public policy is a plus.
Position Details
- Location: Burns, WY (some remote flexibility may be available).
- Schedule: Primarily Monday – Friday, 9:00 AM – 4:00 PM. On rare occasions, an evening or weekend may be required for special events.
- Employment Type: Full-time
- Compensation: Competitive salary based on experience.
